  • Overview

    The Safeguards Training Coordinator provides administrative, office, and training/course support to the department manager and instructional staff. Responsible for assisting in course administration and preparation activities.

    Responsibilities

    • Proactively tracks department courses, course life cycles, schedules, projects; and assists instructional personnel as needed. Records and transcribes minutes and action items; prepares/processes correspondence; coordinates with Logistics Department; and performs other administrative task as needed.
    • Drafts summaries and reports of complied information; processes or translates information into various customized formats, reports, graphs, slides, presentations, and charts; provides desktop publishing and graphic support in the development/creation of slides, instructor/student guides, activities/exercises, tests, and other course materials.
    • Prepares hard copy masters, electronic copy masters, and development files; files and retrieves lesson plans and training materials; responds expeditiously to requests to retrieve filed lesson plans and other training materials; develops course status reports and maintains course matrix data.
    • Compiles and sorts report information; develops, organizes, and maintains databases; reviews data for deficiencies; resolves scheduling discrepancies.
    • Maintains the department calendar; notates due dates of projects and work assignments; tracks and reports status of projects and assignments; follows up and reminds/alerts department personnel of due dates; notates travel and scheduled time off of department personnel; schedules appointments, meetings, conferences, and teleconferences as directed.
    • Focuses on quality as it relates to the customer; listens actively to customer needs and concerns; anticipates customer needs and expectations; responds expeditiously to customer questions, requests, and concerns; satisfies customer needs and expectations.
    • Applies and follows basic safety and security concepts and policies.

    Qualifications

    • A high school diploma or G.E.D, with a minimum of five years of progressively responsible administrative, secretarial, data/word processing, desktop publishing, or clerical support work;
    • Associate’s Degree from an accredited college, university, business, or technical-vocational school, is preferred (see note.)
    • A minimum of three years of advanced administrative support position directly related or comparable to the position and which equipped the applicant/incumbent with the specialized knowledge, skills, and abilities to perform the necessary functions of this position.

     [NOTE:  Any combination of relevant education, training, and qualifiable experience (i.e., experience comparable in difficulty to college-level work), totaling four years above the high school level, which provides the required knowledge, skills, and abilities and renders

     

    Essential skills and experience:

     

    • Knowledge of writing/editing techniques sufficient to ensure that the level of concepts, expression and vocabulary are appropriate for the intended audience.
    • Excellent proofreading and editing skills sufficient to produce error-free documents and training materials.
    • Proficiency in Microsoft Office Suite, Adobe, SharePoint, and other programs and applications as required.
    • Interpersonal and team skills and ability to interact effectively with diverse individuals without regard to gender, ethnicity, background, and other personal attributes.
