    Due to our continued growth, Sargent & Lundy currently has a new opportunity for an Administrative Assistant role in our Chicago, IL office. The Administrative Specialist performs a variety of administrative and documentation functions such as scheduling appointments/meetings, HR department receptionist, data entry, document management, generating reports, filing, and handling multiple projects. The incumbent works within established guidelines and utilizes experience and judgment to plan and accomplish tasks. Most tasks are performed under general supervision



    • Adherence to confidentiality is a vital responsibility of this role.
    • Performs routine and non-routine documentation and administrative tasks.
    • Functions as an assistant, receptionist, or other specialized role as needed.
    • Process tuition reimbursement requests.
    • Process security card requests.
    • Schedules department meetings as necessary.
    • Enters, compiles, and generates data reports.
    • Creates, organizes, and maintains data and/or files including filing.
    • Provides administrative support for editing and formatting correspondence, memos, task orders, etc.
    • Takes the lead on specific administrative/division projects and functions, as necessary.
    • Exceptional proofreading skills.
    • May make travel arrangements, prepares expense reports, and inputs time sheets for internal customers.
    • May train, coach, or mentor less experienced administrative staff.
    • Reads, writes, and speaks English fluently.
    • Reads and comprehends content related to the duties of the position.
    • Communicates information effectively and responds to requests.
    • Demonstrates advanced computer proficiency as related to duties of the position, such as Microsoft Office.
    • Performs other duties as assigned.
    • Managing changing assignments and priorities to ensure that deadlines are met while maintaining a high-quality product.
    • Clerical support including mailing, scanning, faxing, and copying.


    Essential skills and experience:

    • This position requires a high school diploma (or equivalent) and three or more years of administrative or relevant experience.
    • Excellent communication skills (including writing and editing skills), keyboarding skills (50+ wpm), and intermediate to advanced proficiency in Microsoft Office: Word, Excel, and PowerPoint.
    • Candidate needs to be flexible, a team player, and a self-starter.
    • Applies common sense understanding to carry out instructions given in written or verbal form.
    • Performs the essential duties of the job often requiring sitting, standing, and walking.
    • Stoops, kneels, crouches and/or lifts up to 10 pounds on occasion.
    • Operates office equipment on a regular basis such as a computer with mouse and monitor, printer, copier, telephone, fax machine, etc.

    Valued, but not required skills and experience:

    • Some college level education in English, writing, business administration, or another related field.
    • Experience working in a production environment, meeting established production and accuracy goals, with the ability to maintain focus on quality of details while performing repetitive functions.
    • Experience working in the engineering and/or power industry field.
