We are seeking an Asana Product Owner to join our Technology Business Operations team. This individual will serve as the primary owner of the Asana platform — responsible for its configuration, governance, optimization, and strategic evolution to support IT demand management, portfolio visibility, and Agile delivery across the CTO organization.
We are looking for someone who combines deep Asana platform expertise with strong governance instincts. The ideal candidate brings hands-on experience designing workspace structures, enforcing data standards, building reporting frameworks, and driving adoption at scale.
This role requires someone who will champion platform integrity and governance while remaining collaborative and responsive to the diverse needs of project teams, business relationship managers, and senior leadership.
Key Responsibilities
Platform Administration & Configuration
- Own the end-to-end administration of the Asana Enterprise workspace, including workspace settings, teams, projects, portfolios, and user access management.
- Design, build, and maintain standardized project templates, custom fields, workflows, rules, and forms that align with IT demand management and Agile delivery processes.
- Manage user provisioning and deprovisioning in coordination with Microsoft Entra ID and enterprise identity management policies; enforce role-based access controls across the workspace.
- Configure and optimize Asana integrations with adjacent platforms (e.g., Microsoft 365, Power BI, Azure DevOps, Glean, ServiceNow) to support seamless data flow and reporting.
- Monitor platform performance, API usage, and license utilization; manage Asana vendor relationship, feature requests, and support escalations.
Governance Framework & Data Integrity
- Develop, document, and enforce an Asana governance framework, inclusive of naming conventions, custom field standards, project structure guidelines, data entry requirements, and lifecycle management policies.
- Establish and maintain data quality standards across the workspace; implement automated rules and validation checks to ensure completeness and consistency of task data (e.g., due dates, assignees, story points, planned effort, status fields).
- Define and enforce change control procedures for workspace-level configuration changes, including custom field creation, workflow modifications, and template updates.
- Conduct periodic audits of workspace data quality, project hygiene, and governance compliance; produce actionable reports and remediation plans.
- Maintain an inventory of all active projects, portfolios, custom fields, and integrations; decommission unused or redundant assets to minimize workspace sprawl.
Portfolio Reporting & Analytics
- Design and deliver portfolio-level reporting views, dashboards, and KPIs that provide leadership with clear visibility into project health, capacity, throughput, and delivery performance.
- Build and maintain advanced reporting using Asana’s native capabilities and extend reporting through Power BI or similar tools when multi-dimensional analysis is required.
- Develop standardized status reporting templates and cadences that support steering committee reviews, executive briefings, and cross-functional coordination.
- Track and report on demand intake pipeline metrics ensuring end-to-end traceability across the portfolio, from idea submission through triage, prioritization, and delivery.
Stakeholder Enablement & Adoption
- Serve as the primary point of contact for Asana-related questions, best practices, and platform support across the CTO organization.
- Develop and deliver training materials, user guides, onboarding resources, and enablement sessions for new and existing users, tailored to role-specific needs (project managers, team leads, business relationship managers, individual contributors).
- Drive platform adoption by identifying friction points, gathering user feedback, and continuously improving workflows, templates, and governance documentation.
- Partner with business relationship managers and AI Champions to ensure Asana structures support use-case intake, backlog management, and prioritization workflows across business groups.
Strategic Platform Ownership
- Define and communicate the Asana platform roadmap, align platform capabilities with evolving organizational needs, Agile maturity goals, and IT strategy.
- Evaluate new Asana features, API capabilities, and third-party integrations; recommend and implement enhancements that improve efficiency, governance, or reporting.
- Collaborate with Enterprise Architecture and Information Security teams to ensure platform configurations comply with enterprise security standards, data residency requirements, and access management policies.
- Contribute to broader Technology Business Operations initiatives, including demand management process improvement, capacity planning, and tooling strategy.
This position offers the flexibility of a hybrid schedule with the expectation of 3 days per week in our Chicago, IL office, and 2 days remote from home.
