    Our Financial business unit is looking for an admin to support the Commercial, Procurement, Legal and Financial groups in Chicago, Illinois.


    Primary Duties:

    • This position requires you to prepare, track, and maintain business insurance applications, policies, email archives, and recovery files. You will also be expected to process insurance and other third-party client registration invoices.
    • You will be responsible for creating, tracking and filing audit certificates of insurance.
    • Report and monitor International Business Travel.
    • Report and track business auto accident and business property incidents.
    • You will review documentation and perform document comparisons and conversions in Word and Adobe Acrobat.
    • After becoming a notary, you will perform duties associated with that role.
    • As an administrative assistant, you will receive client questionnaires and you will be required to communicate with the proper individuals to submit the response.
    • Prepare files needed for Quality Assurance audits.
    • Once trained, you will be expected to independently plan and execute work based on the task assigned.  This includes, but is not limited to, managing changing assignments and priorities to ensure that deadlines are met while maintaining a high quality product.

    Secondary Duties include, but are not limited to:

    • Prepare expense reports for approval.
    • Register for webinars through our learning management system and book meeting rooms accordingly.
    • Coordinate the distribution of handouts and sign-in sheets for meetings.
    • Order lunches for meeting attendees when necessary.
    • Prepare and update monthly statistical reports.
    • Maintain and revises Commercial Master Agreements.
    • Process contracts and purchase orders, distribute copies, and upload the files to our document management system.
    • Produce, update and distribute Risk Management Committee status spreadsheets and prepare the committees notes and presentations.


    Essential skills and experience:

    • This position requires a high school diploma (or equivalent) and three or more years of administrative experience.
    • Prior experience should include working in a production environment, meeting established production and accuracy goals, with the ability to maintain focus on quality of details.
    • This position requires a candidate who can work in a high pressure environment and handle a variety of duties. The candidate also needs to be flexible, a team player, a self-starter and be open to occasional overtime.
    • Extensive proficiency in all Microsoft Office Products.
    • Excellent written and verbal communication skills.
    • An interest in learning about business insurance.


    Valued by not required skills and experience:

    • Some college level education in fields such as English, Writing or Journalism.
    • Experience with Crystal Reports
    • Knowledge of insurance terminology
