As an HR Coordinator at Sargent & Lundy, you will play a crucial role in ensuring the smooth and efficient scheduling of interviews, supporting the recruitment team, and contributing to the overall candidate experience. This position is ideal for someone with a keen attention to detail, a strong customer service mindset, a questioning attitude, and technical proficiency. You will be responsible for coordinating multiple interview formats, assisting with ad hoc reports, and contributing to continuous process improvements in recruitment.
In this position you will:
· Collaborate with HR team members and department managers to efficiently schedule interviews (phone, virtual, and in-person).
· Ensure timely processing of candidate expenses post-interviews.
· Foster strong relationships with candidates, employees, and corporate clients to enhance the candidate experience.
· Prepare and distribute interview materials to interviewers, ensuring all documentation is accurate and complete.
· Assist with job postings to ensure a broad and qualified applicant pool.
· Ensure compliance with federal, state, and local employment laws and company policies.
· Provide administrative support for HR policies and procedures, ensuring smooth internal communication.
· Contribute to ad hoc reporting and special HR projects as needed.
Required Skills and Experience:
· Bachelor’s degree in Business Administration, Human Resources, or a related field.
· One or more years of experience as an HR Coordinator or in a similar administrative role supporting HR functions, including interview scheduling.
· Strong attention to detail and the ability to manage scheduling across multiple time zones.
· Exceptional customer service skills with a focus on delivering a positive experience for candidates and hiring managers.
· A proactive attitude with the ability to ask the right questions and drive efficient solutions.
· Technical proficiency with MS Word, Excel, PowerPoint, Outlook, and familiarity with scheduling tools.
· Strong organizational skills with the ability to manage competing priorities in a fast-paced recruiting environment.
· Ability to adapt to new systems and technologies quickly and effectively.
This position offers a hybrid schedule, with 3 office days per week and the remainder remote/virtual.

Preferred but not required skills and experience:
· Experience in a consulting, professional services, or architecture/engineering firm.
· Experience working with Applicant Tracking Systems (ATS) like iCIMS.
